Physicians provide a comprehensive range of primary and specialty care services at the 333-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus including at a network of Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary
The CMMS Database Administrator manages and maintains the Biomedical Engineering Department's Computerized Maintenance Management Software (CMMS) by performing data-integrity audits and certifying the accuracy of the data in the system, approving new records, aligning workflow with standards in the Medical Equipment Maintenance Plan (MEMP), and providing training to the clinical engineering team. The CMMS Database Administrator serves as the database Subject Matter Expert (SME) and sits on the Information Systems ServiceNow Administrator Team to ensure compliance with the organizational change control policies and procedures.
Essential Functions and Responsibilities
- Administers and maintains the day-to-day operation and maintenance of the CMMS
- Align CMMS workflows with the guidance and standards specified in the Medical Equipment Maintenance Plan (MEMP)
- Conduct regular data-integrity audits and inventory rounding to ensure accuracy and reliability of information in the system and compliance with regulations
- Validate and approve new records entered into the CMMS, ensuring completeness and adherence to established standards
- Communicate any related data discrepancies with Biomedical Engineering staff; including equipment work orders, asset information, PM frequencies and procedures, parts descriptions, etc.
- Coordinates preventive maintenance programs for Biomedical Engineering Department; create, manage and monitor PM procedures in CMMS
- Maintain various PM procedures to accurately reflect the work to be performed, continuously monitors efficiency of PMs (by review of 'Estimated Effort')
- Provide comprehensive training to the clinical engineering team on proper use of the CMMS and adherence to established workflows
- Collaborate with the clinical engineering team to streamline processes and improve efficiency in equipment maintenance procedures
- Offer ongoing support and guidance to end-users, addressing concerns or issues related to the CMMS
- Design and provide in-service education materials for new and existing staff, to ensure standardization and accuracy of equipment maintenance records.
- Take the initiative to develop improvements in the CMMS
- Assists Director with the development and administration of policies and procedures
- Track the useful life of medical equipment in the inventory and provide supporting data for the lifecycle management process
- Provide budget and lifecycle expense analysis and determine replacement cycle for medical equipment
- Provide relevant data needed to forecast and inform leadership for purchasing new or replacement medical equipment
- Develop and provide reports to maximize the effectiveness of the departments' maintenance strategies
- Provides special project designs and applications as requested by department heads, medical staff, etc.
- Leads CMMS integration projects. Coordinate with internal teams and external vendors to ensure project scope and goals are met.
- Works with Information Security Officer to understand HIPPA and ePHI requirements and ensures compliance for Biomedical Engineering staff
- Actively participate in ServiceNow upgrades to ensure a smooth transition to the next release
- Actively participate as a member of the Information Systems ServiceNow Administrator Team, contributing expertise and insights to enhance overall functionality and performance of the system
- Adhere to change control policies and procedures, ensuring that modifications to the CMMS are implemented in a controlled and documented manner
Job Requirements
- Associate degree in Biomedical Engineering, Information Technology, or related technology field. Plus at least 4 years of progressively responsible experience with hospital/medical equipment focused on data analytics OR
- Bachelor's degree in a related area of engineering or information technology field and 2 years of CMMS database administration experience
- Biomedical Engineering background with experience in medical equipment inventory and database management is preferred
- Certified ServiceNow Administrator (CSA) required or incumbent will be required to obtain CSA within 6 months of hire date.
- Relevant industry and information technology certifications preferred (e.g. CHTM, CBET, CCE, A+/Net+, etc.) Must hold a valid Indiana driver's license that meets Eskenazi Health's driving policy requirements
Knowledge, Skills & Abilities
- Is familiar with and works under the guidelines established by National Fire Protection Association (NFPA), Joint Commission, Indiana State Board of Health, EPA, OSHA and Eskenazi Health Biomedical Engineering Department
- Knowledge of medical equipment use and functionality to determine the necessity of inclusion into the CMMS
- Ability to determine appropriate risk factors for medical equipment to ensure accurate maintenance activities; including PM and Alternative Equipment Maintenance (AEM) are documented and maintained to meet regulatory requirements
- Experience writing JavaScript code within the ServiceNow platform to customize and extend the functionalities of the software
- High proficiency with Microsoft Office products; ability to read and interpret various charts and graphs
