ANNOUNCEMENT OF POSITION VACANCY


SUMMARY: Provides essential payroll and human resources clerical functions (i.e.: new hire coordination, data entry, answer questions via in-person, phone, and/or email).


SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):

  • Communicate with clients via verbal, written, and electronic correspondence (i.e. answering phones, sending emails, respond to department inquiries, etc.).
  • Follow up with managers/employees regarding unapproved time sheets/time off requests/change requests/meal penalties from previous pay periods.
  • Update various spreadsheets in system.
  • Distributes office documents, and collects requested data and materials as needed.
  • Perform data entry and scans documents.
  • Enter and review data in Kronos (i.e.name changes, address changes).
  • Assist with clerical functions for the processing of staff-related documents and requests (i.e. I-9, EAR, CalPERS, etc.).
  • Assist with reconciliation (payroll, billing, etc.)
  • Prepare reports and presentations on Payroll/HR-related matters
  • Perform various audits (pay data, grade data, etc.).
  • Supports the team in the maintenance of human resource records, past and current.
  • Must be able to adhere to a regular work schedule.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent (preferred), some college would be helpful.
  • Payroll/HR experience (could be satisfied by prior internship)
  • Kronos/payroll systems knowledge (preferred).
  • Strong PC skills and proficiency in Excel, Word and PowerPoint
  • High degree of professionalism
  • Ability to deal with sensitivity regarding confidential material, must maintain confidentiality regarding all matters
  • Organizational, multi-tasking and prioritizing skills
  • Excellent communication and interpersonal skills (including being a good listener) to interact and communicate effectively with faculty, staff, students, and external constituencies, both verbally and in writing.
  • Ability to independently handle multiple work unit priorities and projects.

ABOUT US: As the largest employer of students on the Cal Poly Pomona campus, the Foundation offers valuable work experience and hands-on training to approximately 1,500 Cal Poly Pomona students each year. The Foundation offers positions in various fields; whether it is in the area of technology, science, retail, culinary arts, hospitality1500 management, leadership or research grants, these student employees participate in Cal Poly Pomona's learn-by-doing philosophy and acquire practical skills in their designated field of study.


The Foundation also contributes operating support to nearly 1,100 Foundation and scholarship programs every year, including Bronco Athletics and the Norman J. Priest Scholarship. In addition, the Foundation administers grants and contracts, contributes to campus security, and supports several university publications. The Foundation contributes over $1 million annually to Cal Poly Pomona.
