Position Summary: Responsible for the procurement of all products including furniture, equipment, supplies and other purchases in the clubs centralized procurement program. Assists in the development of purchase specifications; select suppliers, establish bidding and ordering procedures and help develop effective source document flow through the club.
Essential Functions:
Ø Maintains the purchase order system; issues the purchase orders for the needed products, materials and services, monitors purchase orders to assure that deliveries are correct.
Ø Coordinates the procurement and distributions of food items with production operations.
Ø Obtains the best value at the lowest price consistent with established quality standards and delivery schedules
Ø Maintains files of vendors’ stock lists and catalogs, price sheets and discounts
Ø Forecasts market conditions, availability of materials and economic conditions
Ø Keeps informed about current laws, rules and regulations affecting procurement.
Ø Handles communications concerning over shipments, shortages, price changes and related matters.
Ø Determines the cost of deliveries and the best method(s) of transportation.
Ø Develops specifications for products, materials and services in cooperation with personnel responsible for production and service.
Ø Authorizes the rejection of materials which fail to meet specifications
Ø Maintains a file of current specifications
Ø Determines necessary stock levels to provide adequate food and supplies and to minimize investments.
Ø Inspects storage areas.
Ø Monitors records of inventory, materials on-order, and other potential demands for food, beverages and supplies
Ø Monitors maintenance and repair of storage facilities
Ø Selects suppliers
Ø Negotiates reasonable terms with suppliers
Ø Acts as liaison between suppliers and club departments.
Ø Evaluates suppliers’ products, services, dependability and costs
Ø Creates goodwill for the club through effective trade relations
Ø Solves problems with vendors; expedites deliveries as necessary.
Ø Works with suppliers to identify new products, materials and processes
Ø Oversees the distribution of bids and receipt of quotations
Ø Investigates suppliers facilities
Ø Develops job descriptions for storeroom and purchasing personnel
Ø Plans professional development and training opportunities for staff.
Ø Manages purchasing agent(s) to assure that established purchasing procedures are consistently followed.
Ø Determines staffing needs for purchasing and storage functions
Ø Monitors flow of materials through the club (from selection to production to service)
Ø Participates in “make-or-buy” decisions with production and service staff
Ø Develops a budget for operation within the scope of responsibility; takes corrective action(s) as necessary to help assure that budget goals are attained.
Ø Reviews financial statements to monitor expenditures in operational areas
Ø Supervises the taking of inventories
Ø Cooperates closely with various department heads relative to special function requirements, dealing with special menus, lines, etc.
Ø Maintains the payroll records for the department.
Ø Performs all other duties as assigned by employer.
Qualifications and Skills:
Education: Bachelor’s degree in Hospitality Management or similar area of study preferred and other combination of education, training or experience that provides the required knowledge skills and abilities.
Experience: Minimum three years purchasing management experience at a luxury hotel property, fine dining establishment or comparable club. Strong knowledge and passion for wine and beverage with past bartending experience.
Additional Skills: Ability to stand for long periods of time. Ability to read, listen and communicate effectively in English, both verbally and in writing. Ability to access and accurately input information using a moderately complex computer system, phone and internet website.
