Vya, Inc. is looking for a Print and Purchasing Manager with responsibilities for coordinating and leading print jobs and Print Project and Purchasing Coordinators at our digital print facility in Woodlawn, OH.

Job Summary:

The Print and Purchasing Manager is responsible for overseeing print jobs, Print Project and Purchasing Coordinators. Duties include leading Print Project coordinator team, answering internal questions, creating estimates, reviewing proofs, serving as a resource for customers and building and maintaining client relationships.

Salary: Starting at $75,000/year

Essential Functions and Responsibilities:

  • Effectively manage print jobs while maintaining quality and on-time delivery that leads to client satisfaction and retention.
  • Initiates requests for competitive bids and negotiates with vendors and suppliers to perform print jobs for direct mail, seasonal promotions, sales collateral, and other printed material.
  • Maintains existing processes and develops new processes to maximize quality and efficiency.
  • Works with operations on capacity for incoming work.
  • Prepares estimates and cost analysis reports for internal budget approval.
  • Coordinates and prioritizes print production schedules and print specifications.
  • Assesses the team’s capability and capacity; determines training and staffing requirements; and communicates and interprets new capabilities to the team.
  • Provides direction and support when pursuing opportunities or working through potential issues affecting the implementation.
  • Reviews all artwork and copy prior to delivery to printers for accuracy and formats.
  • Reviews and approves mock-ups and proofs, performs final quality assurance.
  • Create accurate and profitable estimates for print jobs that result in winning print work from clients.
  • Participates in the creation of Print Project and Purchasing strategy and reports on the performance to maintain focus on business plan and adjust as necessary which will allow us to achieve our goals and objectives.
  • Act as the internal print subject matter expert to support Vya's ability to successfully fulfill customers' print-related needs.
  • Build and maintain client relationships that result in being viewed as a strategic partner and support the achievement of the organization's objectives.
  • Perform product & supplier research according to project requirements and client requests.
  • Manage several projects at a time and meet all deadlines.
  • Entry and follow-up on purchase orders as well as expedite past due purchase orders, tracking purchase orders and responding to questions relating to purchasing orders.
  • Manage order logistics including job tracking, order follow-up, details of inquiries, complaints, and/or comments, as well as actions taken.
  • Create solutions to vendor issues including quality, timing, pricing discrepancies, etc.
  • Process vendor invoices for payment and manages promotional item expenses.
  • Proactively communicates status of print projects to corresponding Account Managers
  • Actively participates in weekly status meetings to present new opportunities, discuss changes and any challenges with clients
  • Troubleshoots and escalates client issues to appropriate Account Managers, Director of Operations and Director of Client Engagement as required.
  • Writes up orders, sends to pre-press for creation of proofs and places in appropriate location. Follows up on orders as necessary.
  • Checks proof PDF’s accuracy; grammar, dates, codes, against customer specifications. Reviews printed proofs for; correct folds, holes punched, color, backing up correctly, correct finishing, scuffmarks from press, etc. Informs Production Manager or department leads of any issues to adjust and resolve.
  • Requests corrected proof and obtains required approvals from customers prior to sending it to production.
  • Solicits and reviews quotes and proofs from vendors. Writes POs for vendors as required and checks in on status of orders.
  • Participates in print production meetings to review schedules, project due dates; communicate updates, schedule changes, issues
  • Cross-trains other assigned team members and serves as a backup for other Print Project and Purchasing Coordinators as required.
  • Understands all costs related to estimating to be able to evaluate the best price on large projects.
  • Hires, trains, develops, evaluates, schedules, and manages the team. Identifies staff performance issues and development needs and drives the creation of onboarding and development plans that address both employee needs/opportunities and the future requirements of the organization, utilizing internal and external resources as needed.
  • Takes disciplinary action when needed to resolve performance or conduct concerns.

Position Qualifications:

  • Minimum 4-7 years digital, large format, and/or similar print project coordination experience REQUIRED.
  • Experience creating estimates for print and fulfillment jobs REQUIRED
  • Adept with numbers and possesses strong negotiation skills REQUIRED
  • Advanced knowledge of Microsoft Excel REQUIRED.
  • Strong software skills (tech-savvy) REQUIRED.
  • Experience working directly with customers (i.e., customer service or client support roles) is highly preferred.
  • Ability to multitask and work independently in a fast-paced, dynamic environment.
  • Experience leading an estimating or purchasing team, preferred
  • Bachelor’s degree in Business or Liberal Arts preferred.
