JOB SUMMARY:
We are seeking a detail-oriented and organized individual to join our team as an Office Clerk-Summer. In this role, you will be responsible for supporting various administrative tasks, including filing, scanning documents, reorganizing filing systems, and categorizing union grievances. This position offers a valuable opportunity to gain hands-on experience in office administration and contribute to the efficiency of our organization.

ESSENTIAL FUNCTIONS:
  • Filing and Scanning: organize and maintain physical and electronic filing systems.
  • Ensure accurate and timely filing of documents.
  • Scan documents into digital databases and ensure proper organization of electronic files.
  • Reorganization of Filing Room: assess current filing room setup and recommend improvements for better organization and accessibility.
  • Implement reorganization strategies to optimize space and streamline filing processes.
  • Label and categorize files according to established criteria.
  • Categorization of Union Grievances: assist in categorizing and organizing union grievances based on relevant criteria.
  • Input grievance information into databases or tracking systems.
  • Maintain confidentiality and sensitivity regarding union-related matters.
  • General Administrative Support: Provide general administrative support as needed, including answering phones, responding to emails, and assisting with other clerical tasks.
  • Collaborate with team members to ensure efficient operation of administrative functions.
  • Assist with special projects or tasks as assigned by supervisors
JOB QUALIFICATIONS:Minimum Educational Requirements:
  • High school diploma or equivalent
Experience/Skills/Abilities:
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent communication skills, both verbal and written.
  • Prior experience in an office environment or administrative role is a plus, but not required.
  • Duration and Schedule: This is a temporary position for the duration of the summer. The work schedule will be [Monday-Friday 8am – 2pm], with flexibility for hybrid work from home and in the office.
