This position handles a variety of personnel related administrative duties. Provides administrative support to the Manager/Director of Human Resources on all personnel matters as well as clerical support to the HR department and employees regarding human resources activities, policies, processes, and procedures.
Duties and responsibilities
- Files papers and documents electronically into appropriate employee files.
- Oversees the onboarding of new hires from recruiting into the ATS.
- Runs and monitors CORI checks, background checks, and driving records on new hires where appropriate.
- Enters new hires into ATS system; assigning employment number, entering all personal information for new hire.

- Performs customer service functions by answering employee requests and questions.
- Prepares employment verifications for housing, wages etc.
- Corresponds to HR email when assigned as backup
- Conducts benefits enrollment for new employees and maintains waivers for employees who decline benefits
- Maintains monthly expiration reports including but not limited to I9’s, driving record checks, Guard Cards, Elevator licensures and gathers updated materials from employees
- Emails the Account Managers quarterly requesting their site rosters and makes updates.
- Send abandonment letters as requested.
- Conduct biannual audit of Account Manager Non-Competes.
- Conducts audits of various HR programs and recommends any corrective action.
- Assists with processing of terminations and updating HRIS system.
- Send out COBRA notifications when applicable.
- Assist with new hire reporting to State.
- Schedule meetings and interviews as requested .
- Assists with various research projects and/or special projects.
- Performs other duties as assigned.
- Acts as a backup to the receptionist.
- Makes photocopies, faxes document, and performs other clerical functions.
- Performs other duties as assigned.
Qualifications
- Attention to Detail: entering new hire data into the ATS without error.
- Proven relevant experience
- Microsoft Office
- Basic knowledge of HR practices
- Excellent organizational skills

Working conditions
Occasionally an extended day or weekend hours may apply. This position is typically Monday-Friday in-office; remote work may be an option at the discretion of the Director of Human Resources.
