Human Resource Assistant - Full Time

Franciscan Village, a part of Franciscan Ministries, is a vibrant Senior Living community located in Lemont, Illinois. We are currently looking for a full-time Human Resource Assistant to add to our team! The HR Assistant is responsible for the coordination of all materials relating to the maintenance of associate personnel files and communication of information contained in those files as it relates to HR practice and procedure, the completion and tracking of all new hire paperwork, licensure verification, file upkeeping and monthly report.
Duties and Responsibilities:
- Processing payroll in Kronos. Acts as liaison for payroll to the Home Office and responds to associates payroll related inquiries.
- Assists with preparing bi-weekly payroll auditing associate timecards, entering associate reimbursement, bonuses, and deductions.
- Schedules/submits associate pre-employment screenings including physical/drug and background screenings via Accurate Biometrics or regulatory agencies.
- Onboarding process for all new hires
- Issues new associate ID badges and community access cards.
- Has a foundational knowledge of FMLA/LOA processes; responds to requests for leave timely by partnering with the appropriate parties.
- Ensures New Hire Orientation is conducted as scheduled and is consistent with Ministry initiatives.
- Communicates existing policies and procedures for leadership and associates.
- Assists the Home Office in the administration of employee benefits programs such as medical, dental, vision, term and optional life insurance plans, disability programs and retirement benefit plans.
- Accurately maintains associate files and medical records to document status change forms to FTE changes, leaves of absence, terminations, promotions, etc.
- Keeps updated records of associate licensure or certifications including vendors.
- Assists in the maintenance of the Human Resources Information Systems (Ultipro, Kronos) records and ability to create and articulate reports from the database.
- Works with an understanding of applicable state and federal laws and regulations insuring at all times the potential of liability is reduced.
- Performs all duties as assigned.
Required skills and qualifications:
- Associate Degree or equivalent experience
- 2-3 years general experience in the Human Resources field or equivalent combination of administrative
- Experience Knowledge of Federal and State Laws is a plus
