Job Summary:

The Human Resource/Fiscal Specialist provides specialized administrative support in human resource functions and conducts fiscal and administrative duties for all departments within STEP.

Essential Duties and Responsibilities:

Administrative Assistant Functions

  • Demonstrate and promote teamwork, cooperative communication, collaborative problem solving and responsible decision making with staff and coworkers
  • Answer phones, provide accurate information, and route calls appropriately
  • Assist managers and team members with file management and upkeep as assigned
  • Interacts professionally and supportively with guests, clients, peers, and stakeholders within and outside of the agency
  • Work with the STEP team to create and achieve strategic goals and objective
  • Establish and maintain a professional working relationship with colleagues, professionals, community members and family members in a manner that reflects STEP's vision, mission, values and culture
  • Participate in the preparation and distribution of reports, documents, minutes, and records to the STEP Board, other stakeholders, and other parties as assigned
  • Ensure all documentation is occurring thoroughly and consistently, in compliance with federal, state, and contract regulations and is maintained in an organized and easily assessable fashion.

  • Accept and completes all other duties as assigned

Human Resource Functions

  • Assist employees with benefits and process benefit enrollments, changes, and cancellations, annually providing input and implementing all changes in employee’s agency and health benefits
  • Chair the Safety Committee and assist in the implementation of programs to mitigate losses due to safety issues
  • Track employee benefits including year-end accrual calculations
  • Recruit and conduct the initial new hire onboarding, evaluating the effectiveness of recruitment processes and practices and provide recommendations for continual improvement
  • Oversee the appropriate retention and processing of employee files and provide timely information to supervisors regarding the status of employee training, certification, and on-going qualification.
  • Apply and complete the tasks to become a notary
  • Attend assigned business functions, events, and meetings, potentially scheduled after regular business hours and/or on the weekend
  • Implement and monitor compliance with STEP HR policies, processes, contract and legal requirements
  • Input data and monitor and maintain the HR data management system
  • Process reports and claims as needed for Worker’s Compensation and Unemployment Insurance, responding to potential claims in a timely and professional manner
  • Documenting anomalies throughout the year that impacted employees or staffing

Fiscal Specialist Functions

  • Credit card check out process
  • Preparing and participating in the annual audit process?
  • Monitors deposit activity and resolves issues promptly
  • Submit fund requests and orders supplies as required
  • Prepares and processes employee payroll, develops and implements systems to ensure accuracy, timeliness, approval, and compliance with all payroll-related regulations
  • Processes Federal and State payroll tax reports; complete monthly and quarterly payroll reports including all Worker’s Compensation and Unemployment Tax filings. Maintains current understanding of all related reporting requirements
  • Performs calculations and assures accurate processing of all payroll-related liabilities
  • Monitors automated timekeeping system, communicate and resolve exceptions

Job Type: Part-time

Pay: $17.00 - $21.00 per hour

Expected hours: 20 – 30 per week
