Human Resources and Payroll Assistant
Position Summary:
We are seeking a highly organized and detail-oriented individual to join our team as a Human Resources and Payroll Assistant. As a Human Resources Assistant, you will play a crucial role in supporting the HR department and ensuring smooth operations. This is an excellent opportunity in a well-driven company. Reporting directly to the Financial Controller, the Human Resources and Payroll Assistant is responsible for coordinating and facilitating all hiring and payroll-related activities needed at all business locations.
This role must set the tone for professional payroll practices by helping managers understand the importance of keeping on schedule with payroll requirements for information, approval of timesheets, communication of time off by employees, maintaining the accuracy of record changes (new hires, terminations, and approved exceptions) that impact the accuracy and timelines of the payroll processing function.
The role must also effectively interact with employees upon hiring date and at all levels to encourage good communication of information affecting payroll and their benefits.
Ensure compliance with company policies and procedures, as well as relevant employment laws and regulations.

Duties/Responsibilities:
A. Employees – Recruiting, Hiring and Termination Including Benefits
· Assists and provides support with recruitment. Tracks status of candidates and responds with follow-up letters at the end of the recruiting process.
· Schedules meetings and interviews as requested by Management.
· After the position is approved by the Department Manager, this role is the first contact to follow up with the new hire.
· Assists with the onboarding process and obtains completed paperwork from new employees.
· Completes E-Verfiy of newly hired employees.
· Prepares employee files (personal and payment information) and submits them to the Financial Controller for approval.
· Administers health and welfare plans, including enrollments, changes, and terminations.
· Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
· Submits online investigation requests and assists with new-employee background checks.
· Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
· Assists with processing of terminations.
· Assists with the preparation of the performance review process.
· Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
· Files documents into appropriate employee files.
· Assists or prepares correspondence as requested.
· Prepares new-employee files.
· Processes mail.
B. Employees Payroll
· Ensures accurate verification of hours (Reg, Vac, PTO and others) recorded in Aspire and ADP for timely processing of weekly company payroll including certified payroll (construction jobs)
· Run edit reports and verifies accuracy of data entered during payroll processing.
· Ensures employees understand the payroll process and provides clarifications if needed.
· Enters commissions and bonuses into the system when due.
· Communicates with the Financial Controller as necessary and escalates payroll and benefit issues to obtain resolution and decisions in a timely manner.
· Tracks eligibility for company offered benefits (401k, Medical, Paid Time Off) and records employee elections for benefits.
· Verifies that employees are in correct payroll department and worker’s comp classification.
· Process Wisely Cards as needed.
C. Workers Compensation
· Obtain all required documentation when incident occurs.
· Report claims as needed - Submit online form for employee injury.
· Follow up and close status of claim.
D. Audits
· Assist the Financial Controller and Upper Management by providing any necessary documents for any audit request.

· Able to generate system reports for management with knowledge and ability to confirm report data accuracy.
· Performs other related duties as assigned.
Education and Experience:
· Bachelor's degree in human resources or related field and/or equivalent experience.
· Knowledge of payroll best practices, general labor requirements
· Demonstrates a strong accuracy.
· At least two years’ related experience required. ADP preferred.
· SHRM-CP credential preferred.
· Aspire experience is a plus.
· Bilingual Spanish-Portugues-Creole is a plus
COMMUNICATION AND REASONING ABILITY
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Pay: $24.00 - $26.00 per hour
