POSITION SUMMARY:
As a Cause-Driven leader, the HR Administrator assist associates and hiring managers with hiring procedures including gathering, collecting, and maintaining documentation, records and compliance in alignment with human resource policies and employment law. Under direction from the Executive Director, the HR Administrator will be responsible for supporting HR functions with a primary focus on hiring tasks, customer service, reporting and overall administrative tasks. This role will provide frontline customer service support to hiring managers and associate to increase efficiency in the hiring process. The HR Administrator demonstrates the Y's core values of caring, honesty, respect, and responsibility in all areas of job performance.
ESSENTIAL FUNCTIONS:
- Monitor, track and respond to hiring tasks for all Y associates, including but not limited to: work authorization, criminal, credit and/or motor vehicle background checks, child care or criminal charge disclosures, medical assessment reports, notarized documentation for MSDE Office of Child Care, employment references, work permits and parental consent forms, proof of required vaccinations
- Manage collection and storage of required hiring documentation for associate electronic and physical files
- Conduct daily outreach to new associates to provide support and direction on hiring tasks
- Organize and host frequent hiring support sessions at designated regional Y locations to provide in-person support for new hire and their hiring tasks
- Respond to new hire and hiring manager inquiries regarding associates in the hiring process
- Accurately reflect new hires in their hiring status on internal tracking mechanisms
- Ensure 100% compliance with all pre-hire documentation prior to cleared to start notifications
- Issue cleared to start communications and onboarding policies
- Create and distributes reporting of incomplete tasks or other critical data to inform the team or organization of gaps in the hiring process
- Maintains knowledge and understanding of employment law
QUALIFICATIONS:
Education
- BA/BS degree in a related field (preferred) or equivalent work experience
Experience
- A minimum of 3 years of experience in a human resources capacity supporting associate hiring compliance or onboarding
Skills
- Ability to develop and maintain effective working relationships with diverse associates across all departments
- Ability to work with diverse product lines and leaders to create efficient systems and clear, consistent internal communication
- Self-starter with initiative to work independently
- Keen attention to detail and concern for accurate documentation
- Ability to manage multiple priorities, exercise time management and be highly organized
- Ability to communicate effectively verbally and in writing
- Ability to work effectively with minimal supervision and in a fast-paced, high volume environment
- Demonstrates strong analytical, technical and problem-solving skills
- Ability to maintain confidentiality and use effective judgment/decision making skills
- Bilingual, Spanish required
Good knowledge of human capital systems, hiring tools and personal computer applications including Google Suite, Word, Excel, PowerPoint, and internet software
