Human Resources Administrative Assistant – Fernandina Beach, FL
The Fernandina Beach Mill’s Human Resources Administrative Assistant is responsible for providing support to Fernandina Beach Mill teammates, administering HR processes which include but are not limited to data and records management, event planning, coordination of resources, and providing general administrative support.
The daily functions of the Human Resource Administrative Assistant include, but are not limited to:
- Data & Records Management:
- Attendance and Leave Management tracking.
- HRIS processing and report generation.
- Personnel and Labor data recordkeeping.
- Support Mill Staffing / Onboarding processes:
- Preparing and completing new hire information and communication
- Coordinating orientation schedule and onboarding process
- Meeting Coordination & Communication:
- Manage meeting room reservations to ensure the best use of space.
- Provide administrative support including presentation, document, complex spreadsheet, etc. generation for facility managers as needed for report building, employee communication, or team meetings.
- Engage in event planning for Mill Visitors and Employee Recognition functions (includes preparing communications, coordination meeting space, snacks, beverages, meals, office supplies, etc.).
- Prepare Newsletter materials.
- Administrative:
- Back-up timekeeping process, system, and time submission for payroll.
- Assisting in company sponsored community related initiatives to maintain effective community relations.
- Executing special projects and assignments as needed.
- Adhering to safety and quality programs for the facility.
- Other duties as assigned.
What you need to succeed:
- Experience in human resources and/or executive level administrative support functions in a manufacturing environment.
- Minimum 10 years of related experience preferred
OTHER QUALIFICATIONS:
The Human Resources Administrative Assistant position requires strong interpersonal and organization skills with the ability to communicate effectively with all levels of the organization, including union workforce, salaried workforce, corporate management, and potential candidates. The position further requires strong analytical and problem-solving skills, good judgment and decision-making ability. The Mill Administrative Assistant must be a self-starter with attention to detail and the ability to maintain confidential information.
Knowledge/Skills
- Excellent computer skills in MS Office Solutions (PowerPoint, Word, Excel, Visio, Publisher).
- Strong interpersonal and leadership skills are essential.
- Must have excellent oral and written communications skills.
- Excellent problem-solving skills.
- Excellent planning, organizational, time management and prioritization skills.
