Position Title: Fundraising and Database Specialist

Supervisory Responsibilities: None
Typical Schedule: Primarily M-F Days. 20 Hours Per Week. Must occasionally be willing and able to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of the organization.
Position Summary
The Fundraising and Database Specialist plays an important role by providing database and administrative support to the Development Team including participating in all fundraising activities, donor relations, direct mail appeals, and special events. With the Fundraising Database Administrator, the Fundraising and Database Specialist is responsible for the integrity of donor data. This position reports directly to the Chief Development Officer. Primary Duties and Responsibilities
1. Database Integrity
- Ensure overall integrity of the database by keeping data updated and accurate.
- Update and maintain current donor records, including but not limited to relationships, attributes, mailing status.
- Record and update data to optimize the capacity of Raiser’s Edge/NXT.
- Assist with maintenance of database procedure manual.
- Conduct audits and updates regularly– NetSmart, volunteers, NCOA.
- Create gift lists for newsletters and annual reports.
- Manage e-mail bounce back from all department communications.
- Manage family members and new individuals served records.
2. Donor Relations/Customer Service
- Promptly respond to donors’ requests for information via phone or e-mail including completing follow up calls for donor data confirmation and gift/pledge payment information.
- Work with volunteers to make thank you calls to donors on a regular basis, providing donor reports, phone numbers and scripts.
3. Administration and Reporting
- Provide input related to reporting processes and generate reports as needed.
- Create and run a variety of reports for development efforts including home specific gift reports, thank you call reports, new to Hammer & NER reports, and monthly donor year-end process reports.
- Assist Fundraising Database Administrator with discrepancies at month end, year end and as needed.
- Provide administrative support to the Development Team with other fundraising strategies; appeals and campaigns with duties like year-end capital expenditures brochure and custom mailings.
4. Event Support
- Manage Reach for Ralph auction and other event activities as needed.
- Receive physical auction items.
- Document all necessary details for online bidding.
- Work with volunteers at events.
- Act as auction liaison at event with vendor.
- Provide administrative and other support to Event and Project Manager with stewardship and other events.
Essential Knowledge and Qualifications
- Entry-level development database experience or related field required working for a mid-sized organization desired. Related fields would include but not limited to fundraising, communications, public relations, event planning etc. Formal, informal, volunteer, and cross-disciplinary experiences will be considered.
- Raiser’s Edge database or other CRM experience preferred.
- Fundraising event experience preferred.
- Demonstrated experience communicating effectively and persuasively in oral and written communication on an interpersonal or group level.
- Demonstrated proficiency with the Microsoft suite of products, specifically Outlook, Teams, Excel, Word and PowerPoint
- Experience exercising professional discretion and maintaining confidentiality regarding donor relationships.
- Must demonstrate the ability to work diplomatically with a wide variety of people, possess strong organizational skills and complete tasks with a high attention to detail.
