Overview:
We are seeking a highly skilled Finance and HR specialist. If you have a strong background in finance and HR and are passionate about supporting employees and driving organizational success, we would love to hear from you.
The Finance and HR Specialist performs a wide range of tasks and requires a thorough understanding of FSNA’s structure, activities and programs. The individual in this position should have strong administrative, office management, accounting and bookkeeping experience.
Exempt, salary (No Overtime)
MTW – 15 hrs/week
Duties and Responsibilities:
1. Human resources including: on-boarding, employee insurance, benefits, state compliance paperwork, payroll, reference checks, and time and leave records.
2. Develops and updates standard operating practices.
3. Maintains FSNA insurance policies, works with agent on renewals, and advises Executive Director on recommended coverage.
4. Maintains association files and ensures that the association’s records and legal documents are safeguarded.
5. Maintains inventory of supplies, office equipment and furnishings.
6. Manages the association’s building, tenant relations, leases, grounds maintenance, and security system. Issues security cards for the building.
7. Maintains order in the building and yard, reminding staff of their responsibilities.
8. Participates in the planning, development and implementation of short term and long-term objectives of the Association and helps as needed.
9. Maintains building licenses and taxes.
Bookkeeping & Accounting
1. Ensures all bookkeeping/accounting operations are consistent with generally accepted accounting principles for FSNA and FSNA Foundation.
2. Carries out daily bookkeeping for FSNA and FSNA Foundation including AR/AP functions, payroll using payroll service, GL accounting, data entry of all transactions, invoicing, preparing bank deposits, preparing checks for signature, recording of all incoming cash, checks, and credit cards received.
3. Ensures proper processing of all income, including membership dues, foundation donations, advertising income, event registrations and reconciling credit card transactions.
4. Reconciles accounts on a weekly to monthly basis.
5. Prepares quarterly financial statements and other financial reports for Executive Director.
6. Manages petty cash, reconciling monthly, and preparing reports.
7. Manage annual audit with CPA/accounting firm and monthly reconciliation.
8. In conjunction with the CPA and Executive Director insures that all of the association’s financial policies, internal controls and generally accepted accounting principles are followed.
9. Maintains credit card safety certification.
10. Maintains postage accounts for mailing of publications.
Optional Events and Special Projects
1. Assists with managing registration desk at events, with help of staff and volunteers.
2. Work with meeting planner and staff on pre-meeting tasks, as needed.
3. Assist with other educational programs or events, as needed.
General
1. Responsible for other assignments that might be periodically or permanently assigned by the Executive Director.
Required Technical Skills and Knowledge
· Extensive experience and proficiency with QuickBooks, bookkeeping and accounting principles.
· Proficiency with Microsoft Office Suite, including Word, Excel and Outlook.
· Knowledgeable of database functions or association management software.
· Strong understanding of HR practices
· Strong communication and organization skills, including ability to write organized, grammatically correct, complete letters and emails.
Essential Abilities – Able to:
· Work in a traditional office environment under routine working conditions.
· Perform job duties in a variety of meeting settings including offices, conference rooms, and public spaces.
· Optional travel to meetings independently throughout the state.
· Work early mornings and/or evenings as required ( 5 - 6 times per year).
· Lift and/or move up to 20 pounds and sit/stand for long periods during the day.
· See and operate computer systems.
· Hear sufficiently to understand conversation both in person and on the telephone.
