Position Summary:


The Database Supervisor works within the Donor Services department to facilitate donor giving and relationships through approved processes and accurate recording of information. This is done by managing the processing of gifts and other payments to Wheeler Mission. They will supervise and be responsible for the accuracy and timely entry of data related to incoming funds and constituent contact information.

Key Duties and Responsibilities

Key Area: Database Management

  • Review and monitor all data entry, ensuring accurate recording of all items including gift coding/designations, matching company status, and other special handling items.
  • Manage the lockbox process to ensure all information has been scanned into the system accurately.
  • Maintain the gift entry procedure manual and identify methods for improvements.
  • Respond to inquiries, research, and resolve problems related to department transactions, serve as the liaison to the accounting team when necessary.
  • Understand the needs and expectations of the accounting and fund development departments, and ensure data is compliant with audit needs.

  • Order, prioritize, and direct department workflow to achieve required results within defined time frames.
  • Adapt to varying pace, tasks, and quantity while consistently producing required results.
  • Complete department workload requirements in a changing environment, while maintaining a high degree of accuracy, organization, and attention to detail.
  • Initiate and complete reporting and database maintenance tasks
  • Identify and resolve inaccuracies on an ongoing basis.

  • Good communication skills, both verbally and in writing, are important for handling constituent and vendor requests through various channels, including mail, email, in-person, and over the phone.
  • Maintain professionalism, thankfulness, and a positive outlook when interacting with constituents and vendors.

REPORTING RELATIONSHIPS:

This position supervises employees in the Donor Services department and maintains oversight of other staff when accessing the donor database.

MINIMUM QUALIFICATIONS:

Education/Experience:

  • Bachelor's degree or equivalent combination of education, training, and/or experience
  • Previous experience in database management preferred

Technical/Software Knowledge:

  • Advanced Proficiency in Microsoft office, including Excel, Outlook, and Word.
  • Previous experience in donor software and data analysis.

Physical Requirements: To perform the essential job functions of this position, a candidate must be able to:

  • Type and operate standard office equipment.
  • Perform normal business activities.
  • Work in an office setting exclusively on a computer.
  • Occasionally lift products and supplies up to 35 pounds.

Other Requirements for Employment

  • This is a full-time 40-hour position. Typical work hours will be from 8 a.m. to 5 p.m. but must be willing to work a flexible schedule including nights, weekends, and some holidays. Position is eligible for hybrid work with a minimum of 2 days on site per week.
  • Travel is primarily local during a business day with travel to WM Bloomington facilities as required. Additional travel to special event locations may be necessary as job duties demand.
