We are seeking an experienced and detail-oriented self-starter who can problem-solve, work within a team and also work independently. This role will be responsible for overall managing the financials of the agency beginning with; job estimating and proposal development and vendor relations, job costing job hours reporting, maintaining profitability, manage integration of job financial data from productivity software to accounting software through to overseeing General Ledger transaction management and journal entries, preparation of month-end and year-end close and other financial transactions, from fixed payments, variable expenses to bank deposits and budgets as well as overseeing sales tax filing. Working within Quickbooks Online and our ad agency workflow software, FunctionPoint, is a critical component of the role. Additionally, ad agency experience with working knowledge of the printing industry is extremely beneficial to the role.
The ideal candidate will be relied on for on-going support of the team and have opportunities to assist and/or lead special projects. Strong work ethic, attendance and consistent high-quality work and performance are required for this position.
This is a hands-on role requiring attention to detail and a willingness to contribute to numerous production, financial and administrative areas.
Key Responsibilities include:
Proper job set up and financial integration of jobs into accounting software
Understanding workflow, job costing and overall financial impact of each job to the bottom line
Estimating and managing profitability
Vendor communications, production management and quoting of jobs
Reporting and consulting with the owner on the overall financial health of the agency
Oversee the accurate record of all financial and accounting transactions
Prepare and manage master budget and forecasts
Manage monthly, quarterly, and annual closings activities and General Ledger transaction processing
Manage bookkeeper‘s tasks; oversee and reconcile accounts payable and receivable (including vendor payments).
Manage balance sheets, prepare profit/loss statements, and reconcile journal entries into the accounting system
Oversee payroll and sales tax returns
Report on the company’s financial health by compiling data and performing variance analyses and commentary regarding significant differences
Audit job financials and all financial transactions and documents
Reinforce financial data confidentiality and comply with financial policies and regulations
Provide support with special projects (as needed).

Education/Experience:
Bachelor’s degree in Accounting or Finance
Minimum three (3) years business experience in General Accounting roles
Experience using Quickbooks Online
Intermediate skill level or above with spreadsheet development using Google Sheets and Docs as well as Google Workspace
