Position Overview:

The Operations & Staffing Director at Camp Lake Hubert is tasked with realizing the vision set by the Executive Director. This role encompasses overseeing operations and staffing to offer comprehensive support to the Camp Lake Hubert Director. Key responsibilities include recruiting, conducting interviews, and facilitating the onboarding process for staff both domestically and internationally. Moreover, the Director is responsible for coordinating the camp's setup, overseeing day-to-day operations during summer sessions, and ensuring a smooth shutdown of camp operations at the end of each season.

Duties & Responsibilities:

Operations

  • Act as a liaison between the winter office team to ensure smooth operations.
  • Collaborate with various departments for effective coordination and communication.
  • Develop schedules and calendars for pre-camp and during-camp activities.
  • Facilitate operational planning and preparations for the upcoming summer season.
  • Implement and uphold standard operating procedures to streamline camp operations.
  • Manage inventory and procure supplies, equipment, and resources essential for camp operations.
  • Supervise laundry operations for campers.
  • Maintain optimal inventory levels and efficiently manage the camp store.
  • Evaluate operational performance to identify areas for improvement and implement solutions.
  • Oversee shoulder groups at Camp Lake Hubert.
  • Manage and organize the warehouse.
  • Ensure facilities are set up, clean, and functional.
  • Plan and create menus for summer sessions.
  • Supervise supply ordering and distribution for the camp and related areas.
  • Coordinate with maintenance for the upkeep of camp vehicles.
  • Foster professional partnerships with outside vendors.

Staffing Responsibilities

  • Coordinate recruitment needs with international employment agencies.
  • Manage staff arrivals, departures, and off-site trips.
  • Collaborate with colleges and universities for recruitment partnerships.
  • Conduct reference checks and background checks as needed (in coordination with Director, People Services – GVL & Camps).
  • Create and oversee employment agreements.
  • Develop marketing strategies using marketing materials and branding as per staffing requirements.
  • Supervise the Food Service Director, Drivers, Seasonal Housekeepers, Purchaser/Ops Assistant, and any identified Staffing intern.
  • Establish scheduling and calendars for pre-camp and during-camp activities.
  • Facilitate operational planning and preparations for the summer season.
  • Handle staff separations in collaboration with Director, People Services – GVL & Camps.
  • Manage staff positions and the staff budget while ensuring operational efficiency.
  • Collaborate with the appropriate camp director on hiring and rehiring decisions.
  • Collect new hire paperwork, documentation, and payroll details.
  • Share gathered feedback with year-round staff to drive continuous improvement.
  • Maintain an annualized budget and ensure adherence to it.

  • Strong interpersonal skills, building positive relationships with stakeholders.
  • Effective problem-solving abilities.
  • Physically capable of lifting over 50 pounds occasionally and performing various physical tasks.
  • Understanding and adherence to confidentiality requirements.
  • Willingness to undergo background checks and follow safety protocols.

Education & Experience

  • Camp experience (as a participant or staff member) highly beneficial.
  • Minimum three (3) years of experience in a related field.
  • Human Resources (HR) experience is advantageous, particularly in recruiting and employment.
  • Familiarity with industry-specific products and services.
  • Knowledge of CampMinder, ADP, Monday, Alice, Profitsword, Culture Amp, Canva is advantageous.
  • Proficiency in Microsoft Office is required.
