Job Description
General Scope of Duties
Educate employees about College leave programs and administer employee paid leave benefits including sick leave, short-term disability, worker’s compensation, parental leave and long-term disability. Administer family medical leave and unpaid leaves of absence. Draft correspondences for all leave programs. Maintain human resource information system (HRIS) as it pertains to leave benefits and employee’s work status. Process all applications for family medical leave accurately and in a timely manner. Log, track, and follow up with appropriate forms and information. Support the administration of the all of the College’s employee benefit programs and assist eligible employees with enrollment, payroll deductions and access to their benefits. Create a sustainable, reliable and comfortable customer service environment for all employees. As an integral member of the HR team, support the day-to-day functions of the office and provide quality customer service to campus employees and visitors.
General Duties and Responsibilities
Educate employees (faculty and staff) on their leave benefits including: sick, vacation, short term, long term disability, worker’s comp, family medical leave, parental leave and unpaid personal leave.
Respond to and process leave benefit requests, including but not limited to providing timely communications to employees and their supervisors, obtaining and reviewing leave applications, maintaining employee records both electronic and paper, and track leave statuses and utilization.
Distribute and process Family Medical Leave (FML) requests including, but not limited to obtaining all necessary documentation, communicating leave status to employees and their supervisors, recording leaves in College’s FML tracking system, maintaining files, and prepare reports as needed.
Interact with benefit providers to resolve service delivery problems and enhance service.
Create and maintain a comfortable, confidential counseling environment for employees.
Stay informed of new trends, developments, laws, and regulations related to the administration of benefits.
Assist newly eligible employees by helping them with benefit enrollment, responding to their questions and resolving any benefits issues.
Process employee benefit enrollments, benefit terminations, and changes with benefit providers.
Enter employee payroll deductions and maintain all benefit related information in the College’s HRIS and related filing systems.
Coordinate employee/retiree education programs such as benefits fair, pre-retirement workshops, and retirement planning workshops.
Ensure the collection of information to comply with Affordable Care Act including the preparation and distribution of IRS forms 1094c and 1095c.
Audit benefit plans to insurance data integrity between system.
Support the Dean of the Faculty administration to ensure faculty receive benefits information and consultation.
Support the HR department’s day-to-day operations.
Promote healthy habits and prevention of illness by implementing a comprehensive wellness program, under the direction of the Director of Human Resources, for faculty, staff and their dependents that includes training and educational programs and activities.
Review the payroll reports to ensure all data entered into the Banner system is correct before payroll is run.
Education and Skills
Bachelor’s degree and 2 – 3 years of benefits/payroll experience, or equivalent combination of education and experience
Strong written and verbal communication skills
Ability to interact well with a variety of people from all areas of the college and community
Proficient in Microsoft Office; knowledge of electronic payroll and applicant tracking systems preferred
Ability to foster a cooperative work environment and demonstrate positive leadership characteristics
High integrity needed to handle confidential information
Attention to detail
Well-organized, able to work under pressure, plan and accomplish goals
