Assistant to the Divisional Deans for Humanities and Social Sciences & the Associate Dean of Equity, Justice, and Inclusion.

This position provides executive level support to the Divisional Deans for Humanities and Social Sciences, and the Associate Dean for Equity, Justice, and Inclusion. The Humanities and Social Sciences Divisions represent 25 academic units (of the 39 in the College) as well as numerous centers. The Associate Dean for Equity, Justice, and Inclusion supports programs, policies, and practices that promote equity, justice and inclusion across the College. The role and responsibilities of the deans of the College of Arts & Sciences are central to the teaching, research, and learning mission of the College and University. Effective deans are critical to the successful operation of the College and their success is dependent upon a skilled and responsive executive assistant. This position creates an organized and stable foundation from which the deans can function and thrive. The individual in this role will be part of a collegial administrative support team that values inclusivity and building cultural partnerships with stakeholders both within the CAS and within the broader UW community.
DUTIES AND RESPONSIBILITIES
Executive Support
Manage three executive-level calendars.
Research, prepare, and distribute background documentation for meetings.
Handle sensitive faculty personnel issues with discretion.
Hold delegated authority to conduct professional-level administration and management of administrative functions.
Perform research and analysis to advance the strategic goals of the Divisional Deans’ and Associate Dean of EJI’s research and gather information for projects, reports, and initiatives.
Create and manage an online repository for templates and documents for divisional chairs and directors.
Organize regular monthly meetings and follow-up action items as necessary for the Humanities and Social Sciences Divisions.
Organize individual meetings, as well as programmatic meetings series, and follow-up actions for the Associate Dean of EJI.
Hold delegated authority to address and resolve questions from faculty and chairs regarding administrative procedures and policies.
Arrange and reimburse travel for Divisional Deans while providing oversight of deans’ discretionary expenses.
Plan and organize Divisional retreats as requested.
Assist Divisional Deans as needed with faculty searches.
Special Projects
Manage and organize significant special projects for the Divisional Deans’ and Associate Dean of EJI’s office.
Investigate, analyze and summarize key information for deans’ review and advise on courses of action.
In collaboration with EA for Arts and Natural Sciences Divisional Deans, share responsibility for scholarship calls (determine number and size of awards, broadcast call for nominations, collect nominations and organize for reviewers, notify recipients, determine distributions and notify College Business Office and Stewardship Office).
Occasional event support, including outside normal business hours, as directed by the Director of Dean’s Office Support Staff.
Other
Provide backup support for Arts and Natural Sciences Divisional Deans in absence of the other Assistant to the Dean.
General office support as requested interact with students, staff, and other community members.
Other duties as assigned.
MINIMUM REQUIREMENTS
Bachelor’s degree.
Three to four years’ experience increasingly complex executive assistant support to senior-level leaders.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Familiarity with online meeting resources (for example, Microsoft Teams and Zoom).
Familiarity with file sharing (One Drive, Google Docs).
Familiarity with online database management systems, such as Interfolio.
DESIRED QUALIFICATIONS
Experience in a four-year College or University or not for profit organization.
Attention to detail.
Discretion, tact, and an ability to maintain confidentiality.
Demonstrated excellence in written and oral communication.
Willingness to learn new technology and embrace process improvement.
