Job Title: Payroll and Benefits Coordinator

Location: Berlin, CT, or Montreal

Schedule: Monday to Friday 8:30am-5:30pm.

What you will do:


The Payroll and Benefits Coordinator is a key member of the HR team and will report to HR - Director of Total Rewards. They will provide coordination and administrative support in the areas related to payroll and benefits.


As a member of the HR department, this role will work cross-functionally with other team members and require a high level of teamwork and collaboration. This role may also provide broad support within the areas of total rewards (benefits, payroll, D&I).


This is a hybrid/remote position that will report to the Berlin, CT (or Montreal) office a minimum of 2x/week and may come in additionally as needed.


Responsibilities:

Payroll Support

  • Responsible for supporting both US and Canada timesheets to ensure completion before each payroll is processed.
  • Follow up with supervisors to confirm Time Away from Work (TAFW) approvals and authorizations.
  • Completing timesheet checklist and working collaboratively with Payroll and Benefits Specialists
  • New hire entries: Ensures accurate records for new hires including Processing new hires and all related tasks (HRIS entries, filing documents, E-Verify for Form I-9, and entering data into third party systems) from start to finish.
  • Creates employee files and saves appropriate paperwork ensuring consistent labeling throughout
  • Supports Payroll with quick entries during periods of high volume, including mass transactions/preparing uploads.
  • Password reset and troubleshooting.
  • Assist with processing other employee related data and changes within the HRIS and verifying related documentation.

Benefits

  • Tracks all employee benefit eligibility as part of new hire entry process.
  • Enters newly eligible employees into Canada Group Insurance websites.
  • Sends notifications for US and Canada, including RRSP, Group insurance, 401k to newly eligible employees.
  • Tracks Wellness Incentives to prepare in Excel for quick entry, uploads, or completes quick entry directly.
  • Support benefits communication and facilitating graphics/posters and reminders regarding total rewards/benefits offerings.
  • Backup and support for benefits administration
  • Answering general benefits related questions.
  • Intake and processing qualifying events and verifying insurance changes.
  • Confirming benefits enrollment, processing changes and deductions as well as related documentation
  • Open Enrollment support as needed.

Other responsibilities

  • Responsible for Wellness Incentives and other reimbursements (tracking, confirmation, and entries into payroll)
  • Assists with mail for payroll and benefits communication (W-2s, paper notifications)
  • Provides administrative support to the Payroll and Benefits team as needed including special projects and cross-training in other areas.
  • Other responsibilities as assigned.

What we are looking for:

  • Proven experience as a Payroll and/or Benefits Coordinator with a good understanding of basic HR onboarding and administration (I-9, new employee paperwork and processing HR related data)
  • Customer service centric
  • Strong attention to detail and confidentiality
  • Takes a positive, collaborative approach and strong team orientation.
  • Experience with HRIS (Ceridian Dayforce is a plus)
  • Outstanding organizational ability
