Summary

Performs Human Resources and Payroll administrative work for the Human Resources team. This role has primary responsibility for the transmission of weekly payrolls which include hourly and salaried employees. Position reports to the Director of Human Resources.

Position Responsibilities

  • Primary responsibility for the transmission of weekly payrolls which include hourly and salaried employees in the ADP Workforce Now HRIS for RMS-Companies.
  • Onboard new hires, process terms, increases, benefits updates, performance data and other payroll and HR updates.
  • Set-up hourly new employees on the ADP WFN time and attendance system and mobile apps.
  • Maintain ADP WFN data integrity, confidentiality and ensure compliance and stay apprised of current payroll, tax, employment law.
  • Work closely with the HR Director and time and attendance supervisors, on time off, LOA’s, increases and other HR-related issues prior to each payroll transmission.
  • Partner with the Director, HR, to set up new states for taxing and Worker’s Comp, as necessary.
  • Verify 401(k) employee deferrals each pay period, based on employee changes.
  • Download, maintain and preserve all hard copy and electronic payroll files and employee Personnel Files.
  • Provide weekly payroll reports to accounting as appropriate for posting to the GL.
  • Update and maintain the monthly headcount reports for all RMS Companies.
  • Assist with year-end ACA reporting, W2’s and work with ADP WFN to overcome employee issues.
  • May assist HR and Accounting on the annual workers’ compensation and financial audits.
  • Enter all candidates, to whom we make offers of employment, in the background check/drug screen and E-Verify databases.
  • New employee first-day on-boarding for payroll and benefits. Gather, review for accuracy, and ensure completion all new hire documents:
  • Enter I-9 data on the first day of hire into the E-Verify DOL/DOJ on-line system for verification of ability to work.
  • Maintain i-9 records.
  • Provide monthly birthday and anniversary updates to the team.
  • Participate in Annual Benefits Open Enrollment Meetings – prepare and review documentation, ensure all employees have updated and accurate benefits elections in WFH.
  • Set up employees, when eligible for benefits, in all benefit vendor portals – Medical, Dental, Vision, Life, 401(k) – and assist in maintaining the integrity of the data in each portal.
  • Reconcile monthly benefit plan invoices by verifying employee coverage with invoices from all carriers each month – Medical, Dental, Vision, Life Insurance, 401(k), if needed. Send to A/P for remittance.
  • Work with the HR Director on posting open positions on recruitment, company websites, etc. May screen applicants for open roles.

Requirements

  • Bachelor’s degree in HR preferred. SHRM/HRCI and Payroll certifications a plus.
  • A minimum of three years’ experience in an HR and payroll role with hands-on payroll responsibility. Experience with the ADP Workforce Now highly preferred.
  • Strong analytical and problem-solving skills and Excel experience.
  • Excellent verbal and written communication skills, and strong organizational skills/ability to prioritize.
  • Excellent attention to detail, ability to juggle multi-priorities, with a high degree of confidentiality are a must.
  • Ability to work in a fast-paced environment and adapt to shifting priorities.
  • HR employee-service focused experience and a team player.
