Job Description Summary:
The Human Resources Assistant supports the daily operations of the Human Resources office and reports to the Manager of Human Resources Administration. Responsibilities include providing information and clerical support to the HR department, applicants, and employees regarding human resources activities, policies, processes, and procedures. Independent projects will be assigned. The Human Resources Assistant performs varied and moderately complex clerical functions and related general office duties that require independent judgment in the use of work methods and procedures. Provides support in all areas of Human Resources. This position is responsible for excellent customer service in engaging with customers both internal and external. The employee is subject to call back and overtime as required by the hospital.
Responsibilities
Refers callers to appropriate place, and performs other secretarial and administrative support related activities for the employment process and department meetings and other department personnel as assigned.
Maintains and collects information from electronic employee files by scanning and reviewing documents and records in system (Laserfiche/Microfilm) and HRIS.
Meets with employees who desire to view their employment file and provides copies of any requested documentation and applying the appropriate fees associated with such.
Enters new employees in HRIS including assisting with sanction checks, abuse registry, license verification, and felony checks.
Responsible for tracking licensed staff for compliance with State and Joint Commission regulations using the appropriate database.
Responds to Verification of Employment (VOE) requests and information releases in a timely manner.
Receives telephone calls for the Human Resources Department, establishes the intent or purpose of the call.
Responds to subpoenas and legal requests for HR file information.
Supports Human Resources by administering pre-employment tests for certain positions.
Documents and mails certified receipt once legal has approved.
Prepares paperwork/files/folders needed for a new employee profile.
Will cross-train in other functions of HR Administrative assistant duties.
Maintains quality service by following organization standards and applying professional judgment, discretion, confidentiality, and integrity to all duties and interactions.
Types and updates HR documents as requested.
Assist Senior HR Assistant (HR Administration) with contract new hires or rehires new hire paperwork and orientation.
Prepare badges, passes, and/or identification cards, and perform other security-related duties for authorized personnel of WTH.
Assists with the orientation check-in process.
Manages the inventory of office and badge machine supplies and order as needed.
Assists in the preparation of files for audits during state inspections, The Joint Commission, and other regulatory agencies.
Performs other related responsibilities as required or directed.
Qualifications
EDUCATION: High school diploma or equivalency with a strong emphasis on business courses and/or vocational office education.
LICENSURE, REGISTRATION, CERTIFICATION: N/A
EXPERIENCE: 3+ years of clerical office experience, preferably in Human Resources.
