Job Summary:

The Human Resources Assistant will perform administrative duties related to the operations of the Human Resources department. This role provides administrative support to human resources as needed, including answering phones, greeting visitors, record-keeping, file maintenance, data entry, recruiting and onboarding. The HR Coordinator is expected to keep information confidential, will conduct themselves professionally, act with integrity and demonstrates high moral and ethical characteristics. Must be bilingual English/Spanish.

Essential Functions:

  • Answers and directs departmental phone calls
  • Greets all visitors and vendors, ensures they are signed in and directed to the appropriate department
  • Receives and distributes office mail
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions
  • Answer general questions for employees, escalates to HR Manager as needed
  • Facilitates, and implements all phases of the talent acquisition, recruitment process for non-exempt roles
  • Collaborates with department managers to identify position openings and find the best candidates
  • Screens applicants, schedule interviews and assist managers with selecting qualified candidates
  • Ensure new hires are submitted for background check and drug screens prior to starting
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Ensure new employee files are prepared and completed
  • May assist with preparation of human resource reports such as attendance, new hire, and turnover reports
  • May assist with organizational training
  • Network with local colleges, technical schools and participate in job fairs and recruiting events
  • Ensures compliance with federal, state, and local employment laws and regulations, and company policies
  • Performs other duties as assigned

Job Qualifications:

  • Bachelor’s degree in Human Resources or related field preferred
  • Minimum two years related experience required
  • Must be bilingual English/Spanish
  • Ability to create and implement sourcing strategies for recruitment for a variety of roles including the use of (Indeed, LinkedIn, Facebook etc.)
  • Experience with Paychex or other HRIS systems
  • Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)
  • Proactive and independent with the ability to take initiative
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with good negotiation tactics
  • Excellent time management, and organizational skills with proven ability to meet deadlines
  • Working understanding of human resource principles, practices and procedures
  • Ability to function well in a high-paced and at times stressful environment
  • Ability to maintain confidential information

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
